As the institution introduced its new three‑building, eight‑story campus, it faced the challenge of delivering a consistent occupant experience for 5,000 employees while accommodating the needs of several subsidiaries. The facilities team desired a dynamic platform that would also provide insights into how the new campus was being used. Without occupancy data, they didn’t know if or how employees engaged with the workspaces, leading to stalled space improvements.

Connected workplace platform unifies communication, space management and operations

To support employees as they navigated the campus, the institution rolled out workplace experience and productivity platform OpenBlue Companion. Using the Companion app on their phone, employees are able to reserve rooms, desks and parking. By scanning a QR code affixed to desks, chairs and other equipment, employees can check in to their workspace or submit a work order ticket. They can also order meals, get IT support and register visitors within the same interface.

For facilities professionals, the real‑time occupancy data from sensors and Companion gives crucial insights to support better space allocation and design decisions.

By centralizing workplace management and delivering a mobile-first experience, the institution strengthened communication, enhanced space utilization and improved how occupants engage with the campus. With a single source for workplace information and engagement, employees experience less friction and more productivity throughout their workday.

The productivity platform even supports the organization’s sustainability efforts. Employees use the app to order their meals in advance, enabling catering services to order more accurate quantities of food and reducing food waste.
