How Definity Insurance optimized their hybrid workspace with OpenBlue

For real estate and facilities teams, having to juggle multiple priorities is nothing new. But the tools they rely on to help them cut costs, improve efficiency, reduce their carbon footprint and enhance employee experience have changed dramatically over the past few years. Workplace management and smart building technologies are playing an increasingly important role in helping them meet these imperatives. In fact, 85% of respondents to our 2025 Inside the Workplace survey of U.S. business leaders said they’re using at least one workplace management solution, and 82% are planning to implement one in the coming year.

At the recent Building Insights user conference, we talked with Jayme Gualtieri, Director, Corporate Services for Definity Insurance about why his company picked OpenBlue and some of the reasons he and his colleagues are glad they did. Why did you start looking into workplace management and smart building solutions?

Before the pandemic, we were a very traditional organization. All of our employees had assigned desks, and we were pretty much in the office five days a week. Managing space really was a function of just making sure every employee had a desk. As the pandemic progressed, we quickly realized that hybrid was here to stay and, with that, we needed some way to manage it and understand our spaces better.

What made OpenBlue stand out?

We appreciated the depth of knowledge and expertise that the folks who participated in our RFP process exhibited. We also loved the product itself. OpenBlue Employee (previously FMS:Employee) is very user-friendly; everything's visual on a map — all it takes to reserve a room or desk is a few quick clicks and you're done. And that's what our employees craved. That really resonated with the team as something that’s really easy.

What do you love most about OpenBlue solutions?

We first went with OpenBlue Employee, which got our foot in the door with being able to book desks. From there, we moved quickly into OpenBlue Insights (previously FMS:Insights), which did exactly that: it gave us the insights we needed to start making future-forward real estate decisions. We wanted to right-size the amount of real estate we had, and we were also looking to make the experience better. We can trade size for quality, and the information we get from OpenBlue Insights helps us to do just that.

We've started using both desk and room sensors to better understand how the different types of assets that we have are being used. For example, we had a 12-person meeting room that was regularly being used by only two people. What we got from that is that we might want to consider splitting it into two smaller meeting rooms.

Our employees really like the sensors and auto check-in feature that enable them to check into the desks without having to do extra clicks. That feature and the room panels are fantastic when you need to jump into a room to have a quick conversation. You can look across the floor and see the green light around the panel and that lets you know instantly that the room is available.
